Job Description

My top Dublin based client is looking for a Project Assistant/Administrator to join their team on the launch of a new Project.


My Client is looking for a Project Assistant to support the general administration of the programme. The primary responsibility is to keep the programme and all related processes running smoothly.

Main Duties/Responsibilities:

  • Coordinate all reoccurring and other key programme meetings including arranging and delivering meeting refreshments / lunches, setting up rooms, meeting materials / collateral etc.
  • Take responsibility for writing minutes and documenting actions.
  • Programme status– produce a weekly status report supported by input from the Programme director and direct reports.
  • Programme reporting – production of key management reports especially during test phases e.g. test execution, defect resolution etc.
  • Administrator for programme tools such as sharepoint
  • Track programme resource, including location and annual leave
  • Programme configuration librarian – custodian and guardian of all master copies of the Programme’s deliverables and other documents e.g. maintain the template filing structures, version control etc. Maintain hard copies of signed documentation in Programme folders. Manage SharePoint workflow documents.
  • Book and manage travel and accommodation requirements for programme team.
  • Meet and greet external visitors to the programme.
  • Onboard new starters – requesting laptops, pc equipment, security passes, etc.
  • External consultant set up – Confidentiality forms, manage VPN access requests through IT, tracking the clients assets offsite e.g. iPads. Managing communication from internal IT across different development centres listed I n the introduction.
  • Manage team work space in line with requirements and team travel.
  • General office management including managing stationary supplies, fire registers, office operational communications and processes.
  • Raising purchase orders for approval by the Programme director

Experience Core Competencies:

Essential Skills / Experience

  • Minimum 3 years working experience in business administration role.
  • Outstanding organisational capabilities.
  • Good IT skills with Windows desktop programmes such as MS word, MS Excel (above average), MS PowerPoint and MS Outlook.
  • Ability to prioritise workload.
