My Dublin based client is recruiting for an Office Administrator for a 6 month daily rate contract. The ideal candidate will be responsible for managing various administrative tasks and providing support across different departments. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. The Office Administrator will serve as the primary point of contact for visitors, manage incoming calls, coordinate office requirements, handle supplier relationships, and assist with various logistical tasks.

Job Responsibilities

  • Serve as the first point of contact for visitors, providing a welcoming and professional experience
  • Monitor and manage incoming calls, directing them to the appropriate personnel.
  • Coordinate and manage all office requirements, including stationary orders, daily incoming/outgoing post, and courier arrangements.
  • Act as the main point of contact for office supplies, ensuring adequate stock levels and managing orders.
  • Oversee fleet management tasks, including insurance, servicing, fuel cards, and company vehicles.
  • Support with travel and hotel arrangements for employees as needed.
  • Issue access cards to staff and visitors as required.
  • Draft purchase orders for relevant departments throughout the organization.
  • Assist with the logistics of client equipment shipments to worldwide locations via DHL and expeditors.
  • Support HR with onboarding/offboarding processes for new employees, including background checks.
  • Perform ad hoc duties as required to ensure the smooth operation of the office.

Experience Required

  • Previous experience in a similar office administration role is essential.
  • Proven ability to work effectively in a fast-paced, changing environment.
  • Strong attention to detail and organizational skills.
  • Customer service-focused with excellent interpersonal skills.
  • A team player with a positive attitude and dedication to the role.
  • Proficiency in MS Office and other relevant software applications.

Essential and Desirable Skills

  • Previous experience in a similar office administration role is essential.
